Field guide 03 / Project management

Project management: make the handoff legible.

Evaluate planning, dependencies and collaboration around how your team actually delivers work.

Choose the coordination problem

A task list, a cross-team delivery plan and a portfolio report solve different problems. Identify where work becomes unclear: intake, assignment, sequencing, review or approval. Pick a representative project before collecting feature requirements.

Criteria that change the decision

Evaluate the path from a request to an accepted outcome, including work that does not follow the happy path.

  • Structure: test subtasks, dependencies, milestones and recurring work.
  • Visibility: check ownership, blocked items and changes to delivery dates.
  • Collaboration: inspect guest access, notification controls and decision history.
  • Portability: verify export of comments, attachments and relationships.

Reporting versus upkeep

Detailed planning can reveal dependencies but requires consistent updates. A lighter board may support a small team while hiding cross-project constraints. More views do not ensure more reliable information; ask who maintains each field and what decision it supports.

A useful trial scenario

Create a small project with a dependency, an external reviewer and a changed deadline. Block one task, reassign another and ask a teammate to identify what needs attention without a meeting. Check whether guest permissions reveal unrelated work and whether the change history explains the new plan.

Questions for the supplier

Ask which views and permission settings depend on plan or seat type. Confirm how archived projects, guest users and file storage are handled. Test keyboard operation and readable status indicators; color alone should not carry essential meaning.

Build a decision record

Estimate setup, template maintenance and notification management. Document which reporting questions the trial answered and which still require a spreadsheet. Choose criteria based on coordination needs, not on the number of available dashboards.
