Map the work before connecting it
Describe a trigger, the required inputs, the resulting action and the person responsible when it fails. Start with a bounded workflow. Automating an unclear process can move inconsistent data faster without improving the outcome.
Criteria that change the decision
Connector availability is only the first check. Verify the exact operations and failure behavior needed by your workflow.
- Triggers: compare polling, event delivery and expected delay.
- Reliability: inspect retries, duplicate prevention and replay controls.
- Observability: check run history, error detail, alerts and retention.
- Access: inspect credential scope, secret handling and workspace permissions.
Convenience versus control
A visual workflow may reduce implementation effort but can become difficult to inspect as branches multiply. Custom code offers control while adding maintenance responsibility. Treat both as software that needs ownership, change review and a recovery procedure.
A useful trial scenario
Use synthetic records to move a request between two test systems. Deliver the same event twice, remove a required field and simulate an unavailable destination. Observe whether duplicates are created, whether failures are visible and whether replay repeats an irreversible action.
Questions for the supplier
Ask how execution limits, concurrency and task accounting work. Request documentation on expired credentials, rate limits, data retention and regional processing. Confirm whether logs expose sensitive payloads and whether a workflow can be exported or versioned.
Build a decision record
Estimate execution volume under normal and retry conditions. Include monitoring and incident response in the operating effort. Prefer workflows whose failures can be detected and recovered by the people who will actually operate them; leave untested guarantees marked unknown.
